Regulations on booth construction

BOOTH CONSTRUCTION

Every booth should be self-supporting, without suspending from or leaning against walls, ceilings or other parts of the infrastructure. It is prohibited to cause damage to the infrastructure of Brussels Expo. Obviously, it is not permitted to attach (a part of) the booth to walls and/or floors.

All materials used for the construction of the booth must be non-flammable. When the booth is built with a velum, the exhibitor must be in possession of a certificate confirming its fire resistance.

The exhibitor must provide qualitative floor covering for the entire surface of the booth. If the difference between aisle and booth is more than 2 cm high, it is obligated that one or more entrances are equipped with a access ramp for wheelchair users.

The objective is to keep the booths as open as possible. If, however, a wall is installed along a passageway, at least 1 meter should remain open per section of 2 meters.

The construction and decoration of the booth must be finished the day before opening at 4 p.m. at the latest. At that time, vehicles will no longer have access to the halls, nor will it be authorised to carry out any construction works that could damage or pollute the neighbouring booths.

DIMENSIONS

Partition walls¹ for a booth are usually 2.5 meters high. By no means may the height of the partition walls exceed 4 meters.

From the outer walls, the booth may be build pyramidal to a maximum height of 6 meters in the middle, provided that the height of the hall is sufficient.

The trusses/suspensions points above the booths may not be used to attach banners or similar in order to artificially increase the height of the booth. There must be an empty space between the booth and the suspended structures.

APPROVAL

The exhibitor that wishes to install walls higher or lower than 2.5 meters must submit the booth design – with clear indications of all heights - for approval to FISA and obtain positive advice from all neighbours² before 28 February 2027. Once FISA has received a design, it is considered to be definite, so no further changes may be implemented.

If we do not receive a design for approval or the neighbours’ positive advice before the mentioned deadline, the exhibitor will have no right to get redress in case of dispute.

The exhibitor who receives a request for approval from a neighbour must respond within 14 days. If the exhibitor does not reply in due time, the booth design will be considered as approved.

In general, FISA is entitled to make a decision and request adjustments if any well-grounded conflicts arise between exhibitors in relation to the design or the construction of the booths every time, they consider it relevant for the general organization of the exhibition.

By no means, an intervention by FISA can lead to a reimbursement. The exhibitor is committed to respect the decision and to renunciate redress.

YOU CAN SEND YOUR DESIGN BY E-MAIL TO PRODUCTION@FISA.BE

TECHNICAL INSTRUCTIONS

The exhibitor is obliged to read the Brussels Expo Health and Safety regulations and take the mentioned safety measures into account. The regulations can be consulted or downloaded on Brussels Expo Health & Safety Regulations.

Meanwhile, we would like to draw your attention to the following instructions:

HYDRANTS AND EXTINGUISHERS

The construction or decoration of the booth may not interfere with the direct access to or visibility of hydrants and extinguishers. The exhibitor has to place additional icons when necessary, in order to clearly indicate the exact location of the equipment. Booths larger than 72 m² are required to have an appropriate extinguisher. The water from the hydrants may not be used in order to fill reservoirs on the booth.

ELECTRICAL CABINETS

The electrical cabinets must always remain accessible (day and night) for technicians. It is permitted to install a door or curtain in front of de cabinets, provided that sufficient ‘work area’ is kept free (1,2m in front of the cabinet + on every side, the gap must be 10 cm larger than the door behind it).

CHARTERS AND CHECK-UPS

The exhibitor is obligated to fill out the Safety, Health and Environmental Charter, completed with a risk analysis if necessary, and to send it to bruexpo@vincotte.be. If an exhibitor builds an (accessible) second floor, he must request an additional check-up!

Note : The dimensions, the materials used for the partition walls and the location of possible demonstrations are essential for the approval of your stand design. Other matters (fe. the exact location of your products and/or the definitive visuals) are less important. Do not hesitate to send in your design as soon as the composition is by and large definitive.

The enclosed floorplan shows the technical gutters. The technical connections (water, electricity,…) can only reach your booth through these gutters. Please keep this in mind when your booth is not built with a raised floor.
